Your Role in Our Mission
As Specialist – Administration & Office Operations, you will play a vital role in building and managing a seamless office environment for our Malaysia operations. Your work will ensure that our facilities, procurement, and office infrastructure support our employees’ productivity and well-being while enabling our regional growth initiatives. You will be instrumental in overseeing administrative processes, vendor relationships, office fit-outs, and operational excellence aligned with NEXT Ventures’ global standards.
How You’ll Make an Impact
Office Administration & Facility Management
Manage daily administrative operations to ensure a safe, secure, and efficient office environment.
Supervise office setup, interior fit-outs, renovation, and construction projects.
Coordinate with vendors, contractors, and building authorities for seamless facility operations.
Procurement & Vendor Management
Oversee procurement activities, including vendor sourcing, negotiation, and inventory control.
Track payments, reconcile petty cash, and ensure accurate documentation of purchases.
Support basic IT procurement and liaise with IT vendors for office tech needs.
Logistics, Compliance & Reporting
Handle travel logistics, visa processing, and guest arrangements for international employees.
Maintain fixed asset inventory and generate operational reports for management.
Support internal audits, compliance initiatives, and regulatory standards adherence.
Collaboration & Cross-Functional Support
Collaborate with teams across departments to support local and regional expansion.
Assist in planning and executing office events, gifting, and hospitality.
What You Bring
Bachelor’s degree in Business Administration, Supply Chain Management, Operations, or a related field.
5 years of experience in administration, office operations, procurement, or facilities management.
Experience managing office renovation or fit-out projects is strongly preferred.
Strong negotiation, budgeting, and vendor management skills.
Proficiency in Google Workspace (Docs, Sheets, Gmail, etc.).
Excellent organizational, multitasking, and time-management abilities.
Strong interpersonal and communication skills with integrity and a team-first mindset.
Demonstrated leadership, sense of ownership, accountability, and attention to detail.
Strong planning, coordination, and decision-making skills.
Eagerness to learn and grow within a fast-paced environment.
