Your Role in Our Mission
Employee Experience Specialist driving the execution of accurate, compliant, and seamless HR operations for the Dubai hub at NEXT Ventures. Partnering with the Global Head of Employee Experience, IT, Finance, and PRO services to deliver every moment of the employee lifecycle — from offer to exit — with rigor and care. Owning visa lifecycles, benefits, office operations, and cross-hub mobility to keep our Dubai team productive, supported, and Day 1 ready.
How You'll Make an Impact
Employee Onboarding & Lifecycle
Run end-to-end onboarding for new joiners in Dubai: offer issuance, background verification, documentation, visa and labour contract coordination, and Day 1 readiness (workstation, email, access, orientation).
Own lifecycle transactions — confirmations, transfers, role changes, promotions, exits — keeping HRIS records, contracts, and payroll inputs accurate and current.
Manage offboarding: clearance, exit interview coordination, final settlement inputs (including end-of-service gratuity), visa cancellation coordination, asset recovery, and handover documentation.
Maintain employee files (digital and physical) and keep the function audit-ready at all times, in line with UAE labour and data-retention requirements.
Own the end-to-end work visa and permit lifecycle for employees and their dependents — employment visas, Emirates ID, labour cards, medical typing, renewals, amendments, and cancellations — coordinating with PRO services, MOHRE, GDRFA, and the relevant free zone authorities.
Benefits Administration
Administer employee benefits — health insurance (including dependents where applicable), group life, leave, allowances, and any local benefits — covering enrolments, changes, claims coordination, and vendor follow-ups.
Serve as the first point of contact for benefits queries; resolve or escalate against clear SLAs.
Track utilisation and costs; flag anomalies or policy gaps to the Global Head of Employee Experience.
Coordinate annual renewals with insurance brokers and benefits vendors; support benchmarking and policy refinement.
Office Administration
Keep the Dubai office running: front-desk, housekeeping, pantry, meeting rooms, courier, supplies, and vendor management.
Manage travel, accommodation, and visa support for employees — including cross-hub movements under the Foreign Assignment & Relocation Policy.
Oversee office-related vendor contracts (cleaning, security, maintenance, stationery, pantry) and coordinate payments with Finance.
Support event execution — town halls, offsites, leadership visits, celebrations, and visitor logistics in the Dubai hub.
Liaise with building management, free zone / mainland authorities, and PRO services as required.
IT & Equipment Enablement
Partner with IT to ensure every employee has the right equipment — laptop, peripherals, phone, software licenses, access cards — before Day 1, and functioning equipment throughout their tenure.
Maintain the asset register for the Dubai hub: issuance, returns, repairs, replacements, and write-offs.
Triage and route IT tickets, escalate blockers, and close the loop with employees.
Coordinate with IT on access provisioning and de-provisioning for joiners, movers, and leavers.
Cross-Hub Coordination
Act as the Dubai-side operational partner for the Global Head of Employee Experience on org-wide HR operations initiatives.
Support cross-hub employee transfers and relocations into and out of Dubai, including logistics, documentation, and settling-in.
Contribute to the standardisation of HR operations processes, SLAs, and tooling across hubs.
What You Bring
4–6 years of experience in HR Operations, HR Shared Services, or a combined HR–Admin role — preferably in a multi-location organisation in fintech, financial services, or technology.
Hands-on experience running onboarding, HRIS data management, benefits administration, and office / vendor management.
Prior experience in the UAE (or wider GCC) with hands-on exposure to UAE labour law, employment visa and work permit processes, Emirates ID issuance, and MOHRE / free zone requirements is strongly preferred.
Bachelor's degree required; Master's / MBA in HR or a related field preferred.
High attention to detail, strong sense of confidentiality, and ability to manage sensitive data.
Comfortable working with stakeholders across multiple geographies and time zones.
Excellent written and verbal English communication.
Experience in fintech, trading, or fast-scaling tech environments.
Familiarity with HRIS platforms (BambooHR, Workday, etc.) and ATS systems.
Working relationships with PRO service providers and free zone authorities in Dubai (DMCC, DIFC, DAFZA, IFZA, or similar).
